Job Description: Inbound Sales and Order Management Specialist

Position Overview:

As an Inbound Sales and Order Management Specialist the ideal candidate will play a pivotal role on the team in managing the sales process and ensuring efficient order management. In this role, the team member will be responsible for handling incoming sales inquiries, processing new orders, and providing exceptional customer service to our wide range of clients. This role requires strong communication skills, attention to detail, and the ability to multitask effectively.

Key Responsibilities:

Sales Inquiries:

  • As a vital member of the team, respond promptly to incoming sales inquiries via phone, email, or other communication channels.
  • Engage with potential customers, using critical listening skills to understand their needs, and provide accurate and complete information about TYCA’s embossing products and services.
  • Build relationships with both current and potential customers, answering questions, and guiding customers through the sales process.
  • Recognize opportunities to engage with other internal and external team members to provide a high level of service with all prospective and current clients.

Order Processing:

  • Receive and review customer orders, ensuring accuracy and completeness.
  • Enter orders into TYCA’s CRM system accurately, verifying pricing, discounts, and product availability.
  • Collaborate with the production team to ensure timely fulfillment of orders and meeting deadlines.
  • Coordinate shipping and delivery arrangements, addressing any specific customer requirements/requests.

Customer Service:

  • Provide exceptional customer service by addressing customer inquiries, concerns, and complaints promptly and professionally.
  • Working with other team members to maintain a high level of product knowledge to assist customers in making informed purchase decisions.
  • Proactively communicate with customers regarding order status, delays, or any other relevant updates.

Sales Support:

  • Collaborate with the sales team to identify opportunities for upselling or cross-selling additional products or services.
  • Assist with the preparation of sales quotes, proposals, and contracts as needed.
  • Maintain accurate records of customer interactions, sales activities, and order details in the company's CRM system.

Process Improvement:

  • As a vital team member, identify opportunities to streamline and improve the sales and order management processes.
  • Work closely with cross-functional teams to implement process enhancements, automation tools, or system upgrades.

Qualifications:

  • High school diploma or equivalent; relevant college degree is a plus.
  • Proven experience in sales support, order management, or customer service roles.
  • Excellent communication skills, both written and verbal.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Proficient computer skills, including experience with CRM software and order management systems.
  • Exceptional customer service and problem-solving abilities.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Familiarity with embossing products or printing industry knowledge is preferred, but not required.
